When Monday.com CRM Works

Team size is 2-20 salespeople — Beyond 50+, you need enterprise forecasting.

Your process is visual — If your team thinks in pipelines, Kanban views help.

You're already using Monday.com — Reduces tool sprawl.

Deals are relationship-based — Long-cycle B2B, service businesses, consultancies.

When Monday.com CRM Doesn't Work

High-volume transactional sales — Hundreds of leads daily need proper automation.

Marketing automation integration — Use HubSpot for email sequences and nurture.

Complex forecasting — Monday.com's reporting is adequate, not sophisticated.

The Setup That Works

Essential Columns Only

  • Name (deal/company)
  • Contact, Email, Phone
  • Deal Value
  • Stage (status column)
  • Owner
  • Next Action + Next Action Date

That's it. I've seen boards with 30+ columns where reps ignore most of them.

Stage Configuration

Lead → Qualified → Proposal → Negotiation → Won/Lost

Keep it simple and sequential.

The Views You Need

  • Kanban — Main working view
  • My Deals — What each rep sees
  • This Week's Actions — Weekly to-do list
  • Pipeline Value — Leadership dashboard

Key Automations

Follow-up reminder:

When: "Next Action Date" is Today
Then: Notify Owner

Stale deal alert:

When: No update for 14 days
And: Not Won/Lost
Then: Notify Owner, set High priority

Won deal handoff:

When: Status → "Won"
Then: Create item in Onboarding board, Notify Success Team

The Bottom Line

Monday.com works as CRM when:
